POD MONTHS SHOULD CONTAIN:
1. Two guest speaker days (for months that do not include business meeting)
2. A Rotary International Theme Day (2018-2019 list below) which may include a guest speaker
3. Classification Talk by a TERC member
CLUB BUSINESS MEETING
o Quarterly meeting, unless requested by Board for extra meetings
o Meeting months – March, June, September, December
MONTHS WITH A 5TH THURSDAY SHOULD ARRANGE:
§ A hands-on activity; or
§ An evening event with spouses, partners, friends; or
§ A fellowship activity
5TH Thursdays occur:
October, December, April
All Club members are invited to contribute ideas. If no other ideas come forward, the Administration Committee will develop a program or event.
ANNUAL GENERAL MEETING
The annual general meeting is to be scheduled on the 4th Thursday in November.

WHAT SHOULD A POD BE DOING FOR ITS MONTH?
1. Arrange & book speakers.
2. For each meeting, assign a POD member for:
a. Invocation
b. Present a joke
c. Introduce the speaker
d. Thank the speaker and inform the speaker about the TERC gifts for speaker (see below)
3. Where appropriate, contact Jeff Harrison about any cheque presentations. Do so at least two weeks ahead of the event.
GIFTS FOR SPEAKERS
4. For each speaker arrange for speaker gifts as follows to be delivered to the speaker:**
a. COVID-19 care package from Jim A.’s business (if available)
b. TERC fridge magnet from Marion C. (if available)
*** Please arrange to collect these items from Jim and Marion ahead of time and have a POD member deliver these items to the speakers.
2. For each speaker, Treasurer of the Board (Jeff) will arrange for a $25 donation to Polio Plus on behalf of the speaker. The Admin Committee will email the Treasurer with the names of the speakers at the end of each month. Please ensure that the person thanking the speaker mentions this donation as well.
POD CO-LEADS:
3. Begin communicating with your members at least 10 weeks ahead of time. Look for speakers and ideas for social activities or hands-on activities.
4. Give everyone something to do over the year. Encourage every team member to bring forward a speaker or to make a presentation or organize an event.
5. Identify the Rotary Theme for your month and decide how it will be addressed.
6. At least two weeks before your assigned month, email Admin Committee Chair (Shaheynoor), Webmaster (Bill), Board Secretary (Virginia) and PR Committee Chair (Leslie) the following information for each meeting:
a. Members assigned for invocation, joke, introduction and for thanking the speaker
b. Title of the talk
c. A short bio of the speaker
d. Email address of the speaker (for Polio Plus donation)
e. Photo of the speaker
f. Brief info about the organization the speaker represents (primarily what the organization does)
SPEAKER FOLDER:
The Speakers List documents is available via Google Docs for POD leads looking for speaker idea. If you know of people who would be good selections as speakers and your POD does not wish to use that opportunity, please send the information to Shaheynoor for the folder.
